Seller Agreement
Last updated 24 October 2026 · OMRI Investments Pty Ltd, Gaborone, Botswana · [email protected]
Draft for pre-launch. Reviewed by OMRI management; to be confirmed by legal counsel before public launch.
This agreement applies in addition to the Terms of Use when you sell on Vendors Harven. The Seller Hub guides explain each step; if a guide and this agreement differ, this agreement applies.
1. Verification
You must pass identity verification before listing: Omang or passport, a selfie and proof of address. Businesses must also provide their CIPA registration and a director’s ID. You confirm the information is true and will keep it up to date, including the bank or Orange Money account that receives your payouts. We may ask for more information or suspend selling if we can’t verify you. A Verified Business badge is available to registered businesses that pass an additional check.
2. Listings and selling limits
- Describe items honestly, including faults. Use your own photos.
- You must own the item and be able to deliver it. Keep stock accurate: cancelling a sale because the item is out of stock counts against your seller level.
- For vehicles and parts, give the make, model and years the item fits only if you are sure of them.
- Each seller has a level (New, Standard or Top Rated) with limits on active listings and monthly sales value. Levels are measured every night over your last 365 days and move up or down automatically. What you need for the next level, and your current limits, are shown in Seller Hub → Your seller level.
- We may review, edit for policy reasons, or remove listings.
- If you accept offers, a buyer may offer from 30% of your Buy It Now price. You have 48 hours to accept, counter or decline. An accepted offer is a binding sale at that price.
3. Sales, dispatch and delivery
- Send nothing until the order says Paid. When a buyer pays, dispatch within your stated handling time (in business days) and add tracking, or print the Vendors Harven QR label for local couriers. For collection, agree a time with the buyer and record the handover with the buyer’s six-digit code. Sending later than your handling time plus one day counts as a late dispatch.
- Delivery is proved by courier scans, by the buyer’s handover code or by the buyer’s confirmation. An untracked dispatch counts as delivered after 14 days if no problem is reported.
- Don’t ask buyers to pay outside the platform. Off-platform payments aren’t protected and may lead to suspension.
- Use buyers’ delivery details only to fulfil the order. Don’t keep them for marketing or share them.
4. Cancellations, returns and cases

- Cancel requests. A buyer may ask to cancel a paid order before you dispatch it. You have 3 business days to approve or decline with a reason. If you don’t answer and the item hasn’t been dispatched, the order is cancelled and the buyer refunded. Dispatching declines the request.
- Returns. Buyers may return an item for a problem with it up to 5 days after delivery, and for change of mind only if your listing says it accepts returns, for the days it states. You have 3 days to answer a return: accept it, offer a partial refund, or refund without a return. For a problem with the item you pay the return postage and may not deduct anything from the refund: add a prepaid label, or the postage the buyer paid (up to a limit shown on the order) is repaid to them from your balance when you confirm the item is back. The same applies to a change of mind if your listing offers free returns. Otherwise the buyer pays postage, and you may keep up to half the item price if it comes back used or damaged, with a reason.
- Requests and cases. If a buyer says an item hasn’t arrived, or isn’t as described, the payment stays on hold and you have 3 business days to respond with tracking or proof, a refund or a partial refund. Requests you resolve yourself don’t count against you. If you don’t respond, or the buyer disagrees, we review the evidence from both sides and decide. If we decide in the buyer’s favour, the refund comes from the held funds, or from your balance if you have already been paid. When you did everything right (tracked, on time, as described), we may cover the refund. That is our decision in each case.
- Chargebacks. If a buyer’s bank reverses a card payment, we treat it as a case. A chargeback we don’t win is deducted from your balance unless we decide to cover it under the rule above.
What a refund means for your money
A refund is approved on your sale
You agreed to it, or we decided it. You get an email.
Have you been paid for the order yet?
Not yet
The refund comes out of the money we are holding. You are not paid for the refunded part and no selling fee is charged on it.
Yes, already paid
The refund is taken from your balance and the selling fee on the refunded part is credited back to you.
Is your balance below zero?
No
Nothing more to do.
Yes
You owe us the difference. We take it from your next sales and may pause payouts and new listings until it is cleared.
We send the refund to the buyer
Within 2 business days. You get a second email, showing what it did to your balance.
- Before you are paid (while we still hold the payment, up to about 3 days after delivery): the refund comes out of the held money. You are not paid for the refunded part and no selling fee is charged on it.
- After you were paid: the refund is taken from your balance, and the selling fee on the refunded part is credited back to you. For a full refund that means the earnings from that sale are reversed.
- If your balance goes negative, you owe us that amount. We take it from your next sales, we may pause your payouts and new listings until it is cleared, and you agree to repay what remains promptly when we ask. We may also recover it by other lawful means.
- Return postage for a problem with the item is repaid to the buyer from your balance, up to the limit shown on the order, unless you gave a prepaid label.
- Delivery by a GoFleet driver. The buyer pays the delivery. If the order is refunded, the buyer gets the delivery charge back and it is not charged to you.
- When we cover it. If you did everything right (tracked, on time, as described), we may cover the refund ourselves. That is our decision in each case.
- You are told twice. You get an email when a refund is approved on your sale and another when it has been sent to the buyer, showing what it did to your balance. We aim to send approved refunds within 2 business days.
5. Fees, balance and payouts
- We deduct our fees (see fees) from the sale when escrow is released. Fees include a final value fee on each sale and, beyond the free monthly allowance, listing fees. Optional extras such as Promoted Listings, listing upgrades and store subscriptions are charged only if you choose them, at the price shown before you agree. A store subscription renews every 30 days and is charged to your balance; you can cancel at any time and it then ends at the end of the period.
- Your balance is paid every Monday to the bank or Orange Money account you verified, free of charge, once it reaches the minimum payout shown in Earnings. You can ask for an instant payout for a small fee shown before you confirm. Instant payouts are paused for 72 hours after you change your payout account, to protect you from fraud; your weekly payout is not affected.
- If your balance is negative you owe fees to us. They are taken from your next sales, and if the amount grows large we may pause new listings until it is cleared.
- Refunds and chargebacks that happen after you were paid come out of your balance, which can then go negative. We may hold a payout while we investigate suspected fraud or an open case.
- Rewards from the referral programme paid to you are added to your balance as described in the Terms of Use. You are responsible for your own taxes, including VAT if you are registered.
6. Seller standards
We measure cases decided against you, sales you cancel for your own reasons, late dispatches and buyer feedback. Requests you resolve yourself, and cancellations a buyer asked for, don’t count. A seller who falls below the bar for their level, with enough recent orders, is moved down a level, and we may suspend or end selling for high defect rates or fraud risk.
7. Ending this agreement
You may stop selling at any time after completing open orders and settling any balance you owe. We may suspend or end selling privileges for breaches, high defect rates or fraud risk. Orders already paid must still be fulfilled or refunded.
